Funding Compliance and Management Information Systems Controller

Reports to: Finance & Business Services Director

Role Purpose

Funding Compliance and Management Information Systems Controller, like all employees, is expected to act as role model for Dove Nest Group behaviours, to uphold the values and to encourage and promote the development of other employees.

• Manage day to day administration of all off the company’s Government funded Programmes (including the Apprentice Levy and others as required) to ensure compliance with all rules and regulations set by bodies such as the Education and Skills Funding Agency (ESFA).
• Manage and keep up to date administration activities relating to all active learner qualifications with external bodies, such as City and Guilds/Institute of Leadership and Management and DSW
• Manage all internal processes to ensure compliance with any quality audits relevant to the services.

Key Responsibilities

• To manage all administrative support to all centrally funded programmes in line with the appropriate quality standards and processes as set by bodies such as the EFSA.
• To manage all processes associated with the Awarding Bodies used by the company ensuring all participant records are valid and up to date.
• To ensure that all information required for Individual Learner Record submissions is always up to date on the relevant company platforms.
• To supply Leadership Development Specialists and Managers with Learner information as required
• To ensure that all relevant entries are up to date on learner platforms following company interventions.
• To be the first point of call for front-line support; handling enquiries relating to funded programmes, and offering appropriate advice and guidance to staff, clients and learners in a professional and supporting manner, reflecting the company values.
• To assist in maintaining and archiving paper and electronic records as required, programme information and records of learner assessment processes.
• To assist with validation processes for new or existing programmes including support for and provision of programme details.
• To contribute to the smooth running of learner related activities including pre-registration, enrolment, induction, assessment, and timetabling and retention activities.
• To provide all necessary support to Leadership Development Specialists and Managers to manage programme end point assessment including coordination with both client and end point assessment providers.
• To work alongside Leadership Development Specialists, Manager, clients and End Point Assessors to support the organisation and servicing of learner Assessment Boards as required.
• Where necessary, to provide general administrative support to Leadership Development Specialists and Managers for non-funded programmes.
• Full ownership of the ‘on boarding process’

Onboarding

• Receive learner nominations.
• Create file, add names/ emails to process tracker.
• Send Pre-work, receive, set up electronic folders, file in learner folder, log on tracker.
• Ensure Leadership Development Specialist has access to pre-work
• Send Orientation invite, help set up of day (checking ID & GCSE/ other certs).
• Receive paperwork from OD. Check applications, request any missing information. Check any RPL and residency issues.
• Log support needs and communicate to Leadership Development Specialist.
• Log marketing preferences and communicate to Leadership Development Specialist.
• Check and scan in signed ID and cert copies. File scanned copies to learner’s electronic file.
• Record ID on tracker. Look up ULNs – involves some checking of previous addresses/ differing personal details with learners.
• Send Launch invite.
• Set up Commitment Statements – include FS requirements, individual learner hours for 20% OTJ training requirement.
• Request/ access Digital Apprenticeship Service cohort from Client. Update with ULNs, start/ end dates, personal details, course title, etc, and return for approval.
• Request ERN information from Client for ILR return.
• Fully input all learner information to Management Information System.

ILR return and monitoring

• Input to ILR for next appropriate return.

Management Information Systems

• To manage and update Management Information Systems and supply relevant reports to management team and employers

Routine

• Remind Leadership Development Specialists of re registers/send templates. Collate returned attendance information and input to process tracker. Assist with day to day queries from learners/ clients/ Leadership Development Specialists/ colleagues via phone and email.

Other Duties

• To maintain and build up good staff relations with other departments and company units.
• To be aware of and adhere to Dove Nest Group Policies & Procedures and act upon them accordingly.
• To communicate respectively with colleagues and other staff and guests.
• To keep a clean, smart appearance in terms of self and to ensure the maintenance and wearing of the appropriate uniform in accordance with the Dress & Appearance Policy.
• To be aware of and adhere to all Dove Nest Group rules and regulations ensuring they are actioned as requested by the company’s health and safety policies.
• To be vigilant at all times to ensure the safety & security of the property, Guests, other employees & self.
• To carry out any other reasonable requests made by Senior Management.

Experience

Essential

• Minimum 5 GSCE’s or equivalent including at least grade C or equivalent in Maths and English.
• Proficient in the use of Microsoft Office products including Word and Excel (2016 versions).
• At least 5 years work experience in a similar role.
• Knowledge of ILR and Funding Rules set by ESFA.
• Understanding of quality policies and procedures in training and assessment.
• Knowledge of apprenticeship training programmes in general.
• Demonstrable experience of setting up administrator process and systems.
• Solid work ethic with rigorous attention to detail.
• Able to deal effectively with non-compliance.
• A strong degree of self-reliance, tolerance for ambiguity and an ability to influence others positively.
• A self-starter prepared to take initiatives within the framework of the role and its relationships with internal and external stakeholder.
• Capable of working and communicating without a large infrastructure. Self-reliant with excellent computer/communication systems skills.
• Willing to travel occasionally to client sites if required.

Desirable

• Knowledge of other centrally available funds for learning and development.
• Good understanding of the needs of employers.

Reports to: Apprenticeships Director

As a Functional Skills Lead, like all employees, is expected to act as role model for Dove Nest Group behaviours, to uphold the values and to encourage and promote the development of other employees.

Role Purpose

As a Functional Skills Lead, you will be responsible for ensuring that the Functional Skills elements of the apprenticeships that Dove Nest delivers are delivered to the highest standards, engaging learners to achieve all aspects of their apprenticeship in a timely and impactful way. You will be responsible and accountable for the delivery of Functional Skills within the apprenticeship programmes, ensuring that each learner is progressed through their learner journey returning a demonstratable impact in their workplace through the application of their new knowledge, skills and behaviours.

You will continuously strive to be outstanding, relentless in your quest to raise the standards of delivery.
In summary, you will set the benchmark of expectation in curriculum delivery and provide an outstanding learner experience through the delivery of a unique apprenticeship journey.

Key Responsibilities

• To optimise delivery opportunities to support an efficient, effective and profitable delivery model for Functional Skills without compromising on quality, achieving the necessary KPI’s for success as determined by the Apprenticeships Director.
• Design a functional skills curriculum to be embedded in the company Learning Management System that services the need of teaching and learning for all functional skills requirements taking into account each individual learning need.
• Prepare learners to achieve all aspects of their Functional Skills, including designing and embedding functional skills in the experiential learning delivered by Trainers and providing suitable and comprehensive support to allow learners to be appropriately prepared to succeed in the assessments for Functional Skills.
• To ensure that all accredited programmes meet the correct standards and requirements laid down by the relevant accrediting bodies, production evidential progress for each learner.
• To maximise appropriate revenue via Functional Skills across all Dove Nest Apprenticeship delivery.
• To ensure that all learners have achieved the relevant level of Functional Skill evidence to allow timely progress on to End Point Assessment.
• Ensure all Leadership Development Specialists have the appropriate knowledge and skills to maximise the embedding of functional skills learning in the leadership programmes they deliver.
• To role model and lead the delivery of training within the apprenticeship sector and uphold the highest standards of professionalism.
• To ensure the timely marking and supportive, developmental feedback is provided on assessment decisions, utilising appropriate assessing opportunities wherever possible.
• To maintain close relationships with the accrediting bodies to ensure that the company services are up-to-date and in line with partnership agreements with the relevant awarding bodies.
• To attend and deliver Training and Development sessions as required and take a proactive role updating core CPD to be at the forefront of the training industry. Supporting the training and development of Leadership Development Specialists to ensure they are suitably aware, prepared and equipped to support learners with the requirements of Functional Skills.
• All other roles or duties that are consummate with this role and this level.

Experience

Essential Criteria includes:

• Extensive experience within the relevant sector at Supervisory/Management level with an integral and detailed knowledge of Functional Skills in an adult education setting.
• One of the following teaching qualifications – PTLLS, CTLLS, DTLLS, CertEd, PGCE.
• One of the following assessing qualifications – A1/A2, D32/33 or TAQA Level 3 Qualified.
• Experience of assessing /coaching within a ‘Work Based’ learning environment.
• An active solutionist with a strong ability to influence in a vertical and horizontal manner.
• Strong commercial awareness with outstanding planning foresight.
• Strong administration skills.
• Hold a full valid driving license and/or*access to a form of transport which will allow the post holder to meet the requirements of the job in full. (*This refers to any candidate who has declared that they have a disability which debars them from driving.)
• Be able to successfully achieve ongoing security clearances in line with client needs to enable workplace learning to occur.
• Proficient in the use of Microsoft package, project management packages and other computer-based programs that maybe beneficial to the effectiveness of the role.

Desirable Criteria

• Experience of coaching / mentoring new and existing Assessors / Tutors to meet quality standards of delivery in Functional Skills.
• The ability to undertake a ‘needs analysis’ processes and systems to refine and optimise outcomes.
• A working knowledge and understanding of the ESFA funding rules.

Additional Information

• The post holder’s duties will require them to be able to travel across all parts of the UK for meetings/activities which may occasionally extend beyond normal office hours.
• Applicants will be subject to relevant DBS checks.
• 10-year checkable work history, or full work history age dependent.
